Multi-department org structure

Each department or office gets its own event workspace under the university account. The Engineering Department, Alumni Relations, and Student Affairs can each run their own events with their own registration forms, without sharing a login or seeing each other's data.

Student org self-service

Student organization leaders set up and manage their own events without involving IT or central events staff. Give each org access to create events under a shared university account. No separate account or contract needed.

Career fair two-audience registration

Run separate registration flows for students and employers in the same event. Collect resume uploads and graduation year from students; collect booth preference and industry category from employers. Both groups check in at the door with QR codes.

Commencement and graduation ticketing

Set guest limits per graduate so every family gets a fair allocation. Use promo codes to distribute unique registration links by college or department. Handles large-venue check-in at 3–5 seconds per scan across multiple entrance stations.

Abstract submission for research events

Accept paper and poster submissions through a built-in call-for-papers form. Reviewers score submissions with a configurable rubric. Accepted presenters receive a private portal to upload slides and bio. Works for departmental colloquia, symposia, and large academic conferences.

QR check-in for large venues

Every attendee receives a QR code in their confirmation email. Staff scan from any phone at the entrance — no app download, no dedicated hardware. The attendee list caches on the device so scanning keeps working if venue WiFi is unreliable.

Every event type, one platform

Orientation and welcome events

New student orientation, transfer orientation, and welcome week events. Collect major, housing status, and dietary restrictions. Session-based scheduling lets students pick their orientation track.

Commencement and graduation ceremonies

Set guest limits per graduate, issue unique registration links by college, and check in thousands of families across multiple entrance points. Separate events per college or one combined ceremony.

Career fairs

Separate registration for students and employers in the same event. Students upload resumes; employers select booth preferences. Both check in at the door. Export employer contact lists after the event.

Research symposia and department conferences

Accept abstract submissions, assign reviewers, build a session schedule, and let presenters manage their own profile and slides through a private speaker portal.

Alumni events

Reunions, giving-day kickoffs, regional alumni chapter meetups, and homecoming events. Collect class year and degree program. Charge for tickets or keep events free.

Student organization events

Club meetings, speaker series, social events, hackathons, and competitions. Student leaders set up their own events without IT involvement. Free plan available for student orgs with up to 100 attendees.

How it works

  1. 1

Set up your university account and sub-organizations

Create one university account, then add departments, offices, and student orgs as separate organizations underneath it. Each sub-org gets its own event list and admin access. Your central events office can see everything from the top-level account.

  2. 2

Each team builds their own event

Department staff and student org leaders create events in their own workspace. They set dates, capacity, custom registration fields, ticket pricing, and session schedules without needing help from IT or central administration.

  3. 3

Attendees register and check in on the day

Attendees register online from any device and receive a confirmation email with their QR code. On event day, staff or volunteers scan QR codes at the entrance from any phone. Attendance records are available for export after the event.

Frequently asked questions

Can multiple departments each manage their own events?

Yes. Each department gets its own sub-organization under your university account. They can create events, manage registrations, and run check-in independently. Your central events office can see all events across the institution from the top-level account.

Can student org leaders set up events themselves?

Yes. You can give student organization leaders admin access to their own sub-org. They create and manage their events without involving IT or central staff. Their events are scoped to their org — they cannot see or edit other orgs' events.

Does the university get a discount?

Yes. Accredited colleges and universities receive 20% off all paid plans. The discount applies at checkout through a self-certification step. No purchase order or formal documentation is required upfront.

Is there a free plan for student organizations?

Yes. The free plan supports events with up to 100 attendees and includes custom registration forms, confirmation emails, QR check-in, and attendance exports. Most small student org events fit within the free plan.

How do we handle commencement when each college has its own guest limit?

Create a separate event per college, or use ticket tiers and promo codes within one event. Issue each graduate a unique promo code that unlocks their guest allotment. The code expires once the allotment is claimed, so no family can take more than their share.

Can employers and students register separately for the same career fair?

Yes. Create two ticket tiers — one for students and one for employers — each with their own custom registration fields. Students see their fields (major, graduation year, resume upload); employers see theirs (company name, booth preference, industry). Both receive QR codes and check in at the door.

Can we export attendance records for university reporting?

Yes. After each event, you can export a CSV of all registrations and check-in status. The export includes every custom field your team collected — useful for department records, accreditation reporting, or alumni engagement tracking.
