Guest limits per graduate

Set a maximum number of tickets per registrant so every family gets a fair allocation. Use promo codes to distribute unique registration links to each graduate, so they control who gets their tickets.

QR code check-in on any phone

Every registration confirmation email includes a QR code. Volunteers scan from their own phone at the door — no app download, no hardware. One scan every 3–5 seconds per station. Cache the attendee list in advance so poor venue WiFi doesn't slow you down.

Ticket tiers for paid or free events

Charge for guest tickets if your school does, or keep them free. Either way, the registration form, confirmation emails, and QR check-in are included on every plan.

Custom registration fields

Collect graduate name, class, department, accessibility needs, or any other field your ceremony coordinator requires. Fields appear on the attendee export.

Capacity enforcement

Set a hard cap on total tickets. Registration closes automatically when capacity is reached. Overflow guests are added to a waitlist and notified if a spot opens.

Attendance export

Download a CSV of all registrations before the event for your records. After check-in, export attendance to confirm which guests were present — useful for accreditation and administrative reporting.

Every event type, one platform

K-12 graduation ceremonies

High school and middle school graduations with fixed guest allotments per graduate. QR check-in handles a 400-seat gymnasium as well as a 2,000-seat auditorium.

University commencement

College and university commencement ceremonies across departments or as a single all-college event. Set up separate registration for each college or cohort.

Community college graduation

Serve adult learners and returning students with flexible registration. Collect accessibility needs and dietary restrictions for post-ceremony receptions.

Trade school & certification events

Smaller ceremonies for cohort-based programs. One event, one form, check-in on the day. Works with the free plan for cohorts under 100.

How it works

  1. 1

    Create your graduation event

Set the ceremony date, venue, and total capacity. Create a ticket tier for guest passes — free or paid. Add custom fields for graduate name and any information your school needs.

  2. 2

    Distribute registration links

Send each graduate their personal registration link (or share a general link for open registration). Set a per-registration ticket limit so every family gets a fair share. Confirmation emails with QR codes go out automatically.

  3. 3

Check in families at the door

Assign volunteers to scanning stations. They open the check-in app on their phone — no download required — and scan guest QR codes at the entrance. Real-time attendance count updates as guests arrive.

Frequently asked questions

Can we limit how many tickets each graduate's family gets?

Yes. Set a maximum tickets per registration so each registrant can only claim a fixed number of guest passes. You can also issue unique promo codes to each graduate — their code unlocks their allotment, and the code expires once used up.

What if our venue has poor WiFi?

The check-in app caches the full attendee list when you first open it, so scanning works offline. Scans sync back to the server when connectivity is restored. This is standard practice for venues with unreliable WiFi.

How many check-in stations do we need?

Plan for roughly one station per 100 guests per hour of arrival window. For a 500-seat ceremony where most guests arrive in 30 minutes, you need at least 3 stations. Each station is just a volunteer with a phone — no dedicated hardware required.

Is there a free plan for small graduation events?

Yes. The free plan covers events up to 100 attendees with full features: custom forms, QR check-in, confirmation emails, and attendance exports. Small department ceremonies or trade school cohorts often fit within the free plan.

Do you offer a discount for schools?

Yes. K-12 schools, community colleges, and accredited universities receive 20% off all paid plans. The discount applies at checkout through a self-certification step — no paperwork or approval process required upfront.

Can we run separate registration for different colleges or departments?

Yes. Each department or college sets up its own event under your school's organization account. Each event has its own registration form, guest limit, and check-in list. Your admin can see all events from one dashboard.

Can we collect accessibility needs?

Yes. Add a dropdown or text field for wheelchair access, hearing loop requests, interpreter needs, or any other accommodation. The field shows on every attendee record and the check-in list.
