Configurable submission form

Build your abstract submission form with any fields you need: title, abstract text, topic area, submission type (paper, poster, workshop, panel), co-authors, institutional affiliation, and any custom fields. Character and word limits enforced on text fields.

Reviewer assignment & blind review

Assign reviewers to submissions manually or by topic area. Reviewers see only the fields you expose — hide author names for double-blind review. Reviewers log in with their own accounts; they see only their assigned submissions.

Scoring rubrics with weighted criteria

Define your scoring rubric with multiple criteria (originality, methodology, relevance, clarity) and set weights for each. Reviewers score each criterion separately. Dashboard shows aggregate scores, score distributions, and review completion by reviewer.

Acceptance decisions & author notifications

Accept, reject, or waitlist submissions from your dashboard. Send decision emails to authors in bulk. Authors log back into their submission portal to see their status and respond to reviewer feedback.

Program builder from accepted abstracts

Build the conference schedule directly from accepted abstracts. Assign sessions to tracks, rooms, and time slots. Export the schedule to share with speakers and attendees.

Speaker portals with private links

Each accepted speaker gets a private link to upload their bio, headshot, presentation file, and A/V requirements. Speaker information feeds directly into the program and schedule.

Professional association conferences

Call for papers alongside member and non-member registration. CPE certificates issued after session check-in. 20% association discount on paid plans.

Workshops & symposia

Lighter CFP workflow — collect proposals, review internally, build a half-day or full-day program. No need for a full peer review panel if your event doesn't require one.

Poster sessions

Separate submission type for posters alongside paper and talk submissions. Assign poster numbers and locations. Generate a poster session guide from accepted submissions.

How it works

  1. 1

    Open your call for papers

Configure your submission form, set your deadline, and publish your CFP link. Authors submit abstracts through a public portal — no account creation required to submit.

  2. 2

    Manage review

Assign reviewers to submissions. Reviewers log in and score their assignments. Track progress in your dashboard — see which submissions need more reviewers and which reviewers are behind.

  3. 3

    Decide and build the program

Accept, reject, or waitlist submissions. Send decision emails in bulk. Assign accepted submissions to session slots and build your program schedule.

Frequently asked questions

Does CompleteEvent support double-blind peer review?

Yes. You control which fields are visible to reviewers. To run double-blind review, exclude author name and institutional affiliation from the reviewer view. Reviewers see only the submission content you expose.

Can reviewers only see their assigned submissions?

Yes. Each reviewer logs in with their own account and sees only the submissions assigned to them. They cannot see other reviewers' scores or the full submission list.

How does the scoring rubric work?

You define rubric criteria (e.g., originality, methodology, relevance) and set a weight for each. Reviewers score each criterion on a numeric scale. The platform calculates weighted aggregate scores and shows the distribution across all submissions.

Can I send acceptance and rejection emails in bulk?

Yes. Filter submissions by decision status (accepted, rejected, waitlisted) and send bulk emails to each group. You write the email template once; the platform inserts the submission title and author name for each recipient.

Does the CFP system connect to conference registration?

Yes. Your CFP, registration, session scheduling, speaker portals, and QR check-in are all in the same platform. Accepted abstracts feed into the program builder, which feeds into the attendee-facing session schedule.

Is there a discount for academic institutions?

Yes. Universities, academic societies, and 501(c)(6) professional associations receive 20% off all paid plans. The discount is applied at checkout through a self-certification step.

How many submissions can the platform handle?

There is no hard limit on submissions. Conferences with several hundred abstracts run without performance issues. The reviewer assignment dashboard is designed to handle large submission volumes with filtering and bulk operations.
