Team Members and Roles
CompleteEvent lets you invite other people to your organization so they can help manage events. Each person gets a role that controls what they can see and do. You can have as many team members as you need — there is no per-seat pricing.
Roles Overview
There are three roles in CompleteEvent:
- Owner — full access to everything: create and delete events, manage billing, invite and remove team members, change organization settings, and view the audit log. Every organization has exactly one owner. Ownership can be transferred to another admin from Organization Settings.
- Admin — can create, edit, publish, and delete events; manage registrations; view analytics; and invite new team members. Cannot change billing or transfer ownership.
- Staff — read-only access to events and the registrations list, plus full access to the check-in scanner. Cannot create or edit events, cannot change settings. Ideal for volunteers, check-in staff, or contractors who need day-of access only.
A practical guide to role assignment:
- Co-organizers who share equal responsibility for your events → Admin.
- Event coordinators who run individual events but should not touch billing or org settings → Admin.
- Check-in volunteers on event day → Staff.
- Speakers or observers who just need to see the schedule → do not invite them as team members; share the public event page and guide links instead.
Inviting a Team Member
- Go to Organization Settings → Team Members.
- Click Invite team member.
- Enter the person's email address and select their role.
- Click Send invitation.
The invitee receives an email with a link to accept the invitation. If they already have a CompleteEvent account, clicking the link adds them to your organization immediately. If they do not have an account, they will be prompted to create one first.
Pending invitations appear in the team member list with a “Pending” badge. You can resend or revoke a pending invitation at any time.
Changing a Team Member's Role
Click the team member's name in the team list, then select a new role from the dropdown. The change takes effect immediately — the team member does not need to log out and back in.
Removing a Team Member
Click the team member's name in the team list and click Remove from organization. This revokes their access immediately. Any events or registrations they created are not affected — data is associated with the organization, not the individual team member.
Organization Settings
Organization settings are accessible from the gear icon in the dashboard. Key settings:
- Organization name — displayed on confirmation emails and public pages.
- Organization logo — appears on confirmation emails and the public organization profile.
- Payment settings — connect or disconnect your Stripe account.
- Custom domain — if you want your event pages hosted on your own domain.
- Data & Privacy — GDPR data export and deletion tools.
Audit Log
The audit log records significant actions taken by all team members in your organization. It is accessible to owners from Organization Settings → Audit Log.
Actions recorded in the audit log include:
- Event created, published, unpublished, deleted
- Registrations cancelled
- Broadcast emails sent
- Team member invited, role changed, or removed
- Billing plan changed
- Organization settings changed
- Data export requested
Each log entry shows the action, the team member who performed it, the affected resource, and a timestamp. The audit log is read-only and cannot be edited or deleted. It is retained for 12 months.
Note: The audit log is not available on the Free plan. It is accessible on Starter and Pro plans. See Billing and Plans for plan comparison details.
Transferring Ownership
If you need to transfer the organization to a new owner (for example, if you are leaving the organization), go to Organization Settings → Danger Zone → Transfer ownership. Select the new owner from your existing admin team members. After transfer, your role changes to Admin. You will retain access unless the new owner removes you.
