Sprekers uitnodigen om hun biografie, foto, AV-vereisten en dia's in te dienen via een privélink — geen spreadsheet nodig.

Overview

The speaker portal gives each speaker a private, token-based link where they can submit their own bio, headshot, social links, AV requirements, and slides URL — directly into your event system. No shared spreadsheet, no email chains.

Speaker invites are managed under Program → Speakers in your event dashboard.

Inviting a Speaker

  1. Go to Program → Speakers.
  2. Enter the speaker's email address and optionally their name and the session they are presenting at.
  3. Click Invite. CompleteEvent sends the speaker an email with a unique, private link valid for 30 days.
  4. The speaker clicks their link and fills in their profile: bio, headshot URL, company, title, social/website link, AV requirements, and slides URL.

What Speakers Submit

  • Bio — displayed on the public event page (if the speakers grid section is enabled in the page builder).
  • Headshot URL — a link to their photo. Ask speakers to use a direct image URL (e.g. LinkedIn photo, personal website).
  • Company and job title — shown alongside their name on the event page.
  • Social / website URL — linked from their speaker card.
  • AV requirements — free-text field for HDMI adapters, microphone preferences, etc. Visible only to organizers.
  • Slides URL — a link to their presentation (Google Slides, Canva, PDF, etc.). Visible only to organizers.

Tracking Submissions

The Speakers dashboard shows each invite's status: Pending (link sent, not submitted), Submitted (profile complete), or Declined (link was revoked).

If a speaker does not respond before their link expires, revoke the invite and send a new one. The revoke button removes the old token immediately.

How Speaker Data Feeds the Event Page

When a speaker invite is linked to a session, their submitted bio and name automatically update that session's speaker info. If you have the Speakers grid section enabled in the page builder, submitted speakers appear there automatically — no manual copy-paste required.

Tips

  • Send invites as soon as sessions are confirmed — speakers almost always need a nudge, and an early link gives them time to prepare.
  • Include a note in the invite email about your headshot guidelines (size, format, background color) to avoid last-minute reshoots.
  • For panels, invite all panelists separately so each has their own profile and AV notes.
