How QR check-in works

Three steps from signup to a smooth door experience.

1

Attendees register

They complete your registration form. CompleteEvent automatically generates a unique QR code and sends it in the confirmation email.

2

Staff open check-in

Any team member opens the CompleteEvent check-in view on their phone. No download required — works in any mobile browser.

3

Scan and go

Point the camera at the attendee's QR code. They're checked in instantly, and the arrival count updates as you scan.

Everything you need at the door

No dedicated hardware

Any iPhone or Android works. No barcode scanners, no rented iPads — your staff's phones are your check-in stations.

Self-service kiosk mode

Set up a shared tablet and let attendees check themselves in. Brand the kiosk with your colors, logo, and background image. Add a PIN lock so staff control when the kiosk exits.

On-demand badge printing

Design a badge template once — different designs per ticket tier. When auto-print is on, a badge prints the moment each attendee checks in. Supports standard inkjet printers or USB Zebra thermal printers.

Offline-capable

Download the attendee list before doors open. Check-ins keep working if venue Wi-Fi fails or slows down, and sync automatically when it's back.

Arrival counts

See how many people have checked in, broken down by ticket type, updated as each scan goes through.

Name search fallback

If an attendee doesn't have their QR code, staff can find and check them in by name in the same interface.

Free on every plan

QR check-in isn't a premium feature. It's included on the Free plan — no upgrade required to use it.

150–200

check-ins per hour, per staff member

QR scanning is 4–5× faster than manual name search. A single staff member with a phone can clear a 200-person arrival surge in under 90 minutes. Add a kiosk and throughput doubles.

Common questions

How do I check in attendees with QR codes for free?

Create your event on CompleteEvent's Free plan. Every registrant automatically gets a unique QR code in their confirmation email. On event day, open the event's Check-in page on any phone, tap the camera button, and scan each code. The Free plan covers up to 100 attendees per event.

Do attendees need to download an app?

No. Attendees receive their QR code in their confirmation email. They show the email at the door — no download required.

What do staff use to scan?

Any iPhone or Android with a camera. Open the CompleteEvent check-in view in a browser and point it at the QR code. No dedicated scanner hardware needed.

What happens if an attendee doesn't have their email?

Staff can search by name in the same check-in view and manually check them in. QR scanning and name search work side-by-side.

Does QR check-in work offline?

Yes. Download the attendee list to the scanning device before doors open. If venue Wi-Fi drops or slows down, scans are checked against that list and saved on the device, then sync automatically when the connection returns.

Can I see who has arrived during the event?

Yes. The check-in page shows how many people have arrived, overall and by ticket type, and the count updates as you scan. For multi-day events, you pick the day and see that day's arrivals.

Does QR check-in work for attendees who don't read English?

Yes. The registration form, ticket page, and QR code page are available in 18 languages, including Spanish, Haitian Creole, Arabic, and Chinese. The QR code itself works the same in every language.

Is QR check-in available on the free plan?

Yes. QR code check-in is included on every plan, including Free. No upgrade required.
