Registration Approval Workflow
Require manual review before confirming registrations. Applicants submit and enter a pending queue — approve or reject with a note, and approved paid applicants receive a Stripe payment link automatically.
Overview
Registration approval lets you review every applicant before confirming their spot. Instead of an instant ticket, applicants receive a "your application is under review" email. You approve or reject from a queue in your dashboard — approved applicants on paid events automatically receive a Stripe payment link. Available on Starter and Pro plans.
Enabling Approval for an Event
- Open your event in the dashboard and go to the Overview tab.
- Find the Registration Approval card and toggle Require approval before confirming registrations on.
- From this point, all new registrations will enter a pending state instead of being confirmed immediately. Existing confirmed registrations are not affected.
You can turn approval off at any time. New registrations after that point will confirm instantly as normal.
Reviewing the Approval Queue
- Go to Registration → Approvals in your event dashboard.
- The Pending tab shows all applications waiting for a decision. Each row shows the applicant's name, email, company, job title, ticket tier selected, and the date they applied.
- To approve: click Approve. Optionally add a note (the note is included in the approval email).
- To reject: click Reject. Optionally add a note explaining the decision.
- To approve everyone at once, click Approve all at the top of the Pending tab.
What Happens After Approval
Free events: The registration is confirmed immediately. The attendee receives the standard confirmation email with their QR code.
Paid events: A Stripe payment link is generated and sent to the applicant's email. Their registration stays in a pending-payment state until they complete checkout. Once paid, they receive the standard confirmation email.
What Happens After Rejection
The applicant receives an email letting them know their application was not accepted. If you included a note, it appears in the email. The registration is marked as rejected and removed from your confirmed attendee list.
Applicant Experience
When an event requires approval, the registration page shows a notice explaining that submission is an application, not an instant ticket. After submitting, the confirmation page says "Application received" with a message that they'll hear back by email.
Custom Form Fields
Approval events work well with custom form fields (go to Registration → Form Fields). Ask applicants questions that help you decide — "Why do you want to attend?", "What is your current role?", or "Link to your portfolio." Their answers appear in the approval queue.
