Event Rundown
Build a time-ordered production script for your event — cue items, responsible owners, AV notes. Staff-facing only. Mark items complete in real time on event day.
Overview
The Event Rundown is a production script — a time-ordered list of everything that needs to happen at your event, who is responsible, and any notes for AV or logistics. It is staff-facing only; attendees cannot see it.
A rundown is useful any time your event has a scripted flow: a conference general session, a gala program, an awards ceremony, a product launch. It gives your MC, AV team, and event staff a single shared document to work from on the day.
Opening the Rundown
From your event dashboard, click Rundown in the event navigation. If the rundown is empty, you will see a prompt to add your first item.
Adding Items
- Click Add item.
- Enter the scheduled time, a title (e.g. “Welcome remarks”), and optionally a duration, the responsible person or role, and any notes (AV cues, talking points, logistics reminders).
- Click Save. The item appears in the rundown in time order.
Items are automatically sorted by scheduled time. If two items share the same time, they are sorted in the order they were created.
Editing and Reordering
Click any item to edit its time, title, duration, owner, or notes. To delete an item, open it and click Delete.
You can drag items to reorder them when times are approximate or when you want to fine-tune the sequence without adjusting every timestamp.
Sharing with Staff
Any team member with access to the event dashboard can view and edit the rundown. For staff who need read-only access on event day — an AV technician, a volunteer MC — share the direct URL to the rundown page. They will need to be logged in as a team member to view it.
For staff without a CompleteEvent account, use the Print view button to generate a clean, print-ready version of the rundown. This opens a simplified layout without dashboard chrome — suitable for printing or saving as a PDF to share via email or messaging.
Using the Rundown on Event Day
The rundown is designed for quick reference during the event. Each item shows its scheduled time and title prominently. Notes and owner details are visible on expansion.
You can mark items as complete by clicking the checkbox next to each one. Completed items are visually dimmed so your team can see at a glance what has happened and what is coming up next. Completions are visible to all team members viewing the rundown in real time.
Tip: Build your rundown a few days before the event, not the morning of. Share it with your AV team and MC in advance so they can flag conflicts or missing cues before you are standing in the venue.
