Sharing Information with Your Attendees
Everything your attendees can access — ticket, QR code, mobile guide, personal schedule — plus ready-to-use email and FAQ templates you can send directly to your audience.
Overview
Once your event is published, your attendees need to know where to go and what to expect. This article covers the full attendee experience from their perspective — what they receive, where to find their ticket, how to use the mobile event guide, and how to build their personal schedule — along with ready-to-use message templates you can paste into your communications.
What Every Attendee Receives
As soon as an attendee registers (or their payment clears for a paid ticket), CompleteEvent sends an automated confirmation email containing everything they need:
- Their unique QR code — displayed inline so they can screenshot it or save it to their camera roll. Staff scan this at the door. No printed ticket required.
- Ticket link — a permanent URL where they can view their QR code any time, even if they delete the original email. The link works on any device, no account needed.
- Calendar attachment (.ics) — one click adds the event to Google Calendar, Apple Calendar, or Outlook with the correct timezone applied automatically.
- Personal schedule link — for multi-session events, attendees can browse all sessions and build their own agenda.
- Mobile event guide link — a public, no-login page with the full schedule, speakers, floor plan, and venue info. Works on any phone or browser.
CompleteEvent also sends automatic reminder emails 3 days before, 1 day before, and the morning of the event — each containing the QR code link and venue details. No manual follow-up required on your end.
The Mobile Event Guide
The mobile event guide is the day-of hub for your attendees. It is publicly accessible at completeevent.app/[your-org]/[your-event]/guide — no login or confirmation code required. Attendees can bookmark it, share it, or add it to their phone's home screen.
The guide includes:
- Full session schedule — all published sessions with times, speakers, room assignments, and track labels. Filterable by track.
- Live session indicator — sessions currently in progress are highlighted so attendees always know what is happening right now.
- Venue floor plan — if you upload one, attendees can pinch-to-zoom on mobile to find rooms.
- Speaker profiles — headshots and bios for any speakers you have added.
- Sponsor logos and information — if you have added sponsors.
The guide URL is the same for every attendee. It is safe to share publicly — for example, in your event program, on signage, or in a day-of email blast.
Personal Schedule Builder
For multi-session or conference-style events, attendees can create their own personalized agenda. From the sessions page or the guide, they can favorite the sessions they plan to attend. Their personal schedule shows only their selected sessions in chronological order.
The personal schedule is tied to their registration — accessible at /my-schedule?confirmation=CODE where CODE is the confirmation code from their email. Changes sync instantly across devices.
The CompleteEvent App (iOS)
The free CompleteEvent app on iOS gives attendees the richest experience. With the app they can:
- Receive push notifications for live announcements from you during the event.
- Access the event feed — a real-time stream of updates you post from the dashboard.
- View their schedule, guide, and QR code without a browser.
The app is available free on the Apple App Store. Attendees search for “CompleteEvent” or use the link you provide. The app is optional — all features work in a standard mobile browser without it. Android attendees use the mobile web experience, which is fully supported.
No Account Required
Attendees do not need to create a CompleteEvent account to access any of the above. Their unique confirmation code (included in every link in their confirmation email) grants full access to their ticket, schedule, and guide.
For attendees who attend multiple events and want everything in one place, an optional account is available at completeevent.app/attendee-login. They sign in with a one-time email code (no password) to see all their registrations across any event.
Sample Messages for Your Attendees
The templates below are ready to send. Replace the bracketed placeholders with your event details. Each template is written to minimize confusion and reduce inbound questions.
Pre-Registration Announcement
Use this in a newsletter, social post, or email blast to drive registrations before your event opens.
Post-Registration Welcome (supplement to the automatic confirmation)
Send this as a personal follow-up or include it in the custom intro section of your confirmation email (available in Email Settings → Branded Emails).
Day-Before Reminder
CompleteEvent sends an automatic reminder the day before, but many organizers like to add a personal message as a broadcast email from the dashboard.
Day-Of Welcome Message
Send this as a broadcast email or post it to the event feed on the morning of your event.
Attendee FAQ (copy this into your event description or a custom page section)
Paste this into your event description or use the Event Page Builder to add an FAQ section to your registration page.
Where to Find Your Event Guide URL
Your public event guide URL follows this format: completeevent.app/[org-slug]/[event-slug]/guide. You can find and copy the exact URL from your event's Overview page in the dashboard — look for the “View public page” button and append /guide to the URL shown.
Attendee Support: Common Issues
These are the most common attendee support questions and how to resolve them quickly:
- Lost confirmation email — direct them to
completeevent.app/find-ticket. They enter their email address and a fresh copy is sent instantly. No action needed on your end. - QR code not scanning — increase screen brightness and hold the phone still. Most scan failures are a screen-brightness issue. Staff can also look up attendees by name from the check-in scanner if the QR code fails.
- Wrong name on ticket — update from the Registrations tab in your dashboard. Find the attendee, open their record, and edit the name field.
- Attendee wants to cancel — process from the Registrations tab. Issue a refund from the same view if the ticket was paid. For more, see Managing Registrations.
- Attendee can't find the schedule — share the event guide URL directly. The guide is publicly accessible with no login.
Tip: Adding the event guide URL and the
completeevent.app/find-ticketlink to your event description will resolve the majority of inbound attendee questions before they reach you.
