Create a Campus Event in 15 Minutes

For student organizations and campus departments: create an account, set up a free event with a registration page, publish it, and check students in with QR codes.

Overview

This guide takes a student organization or campus department from no account to a published event with a registration page and QR check-in. Most people finish in about 15 minutes. You need an email address, your event date and your location.

The Free plan covers this. It allows one active event at a time with up to 100 attendees, and includes registration, confirmation emails with QR codes, and check-in. You do not need a credit card.

Step 1: Create Your Account

Go to completeevent.app/signup and sign up with your email or Google account. Confirm your email address from the message we send you.

If your club or office already has a CompleteEvent organization on a paid plan, ask its owner to invite you instead, so you do not create a duplicate.

Step 2: Name Your Organization

Use the name students know: your club, department or office, for example Pre-Med Society or Office of Student Activities. It appears on confirmation emails. You can change it later in Organization Settings.

Each club or department runs its own organization with its own events. One person can belong to several organizations and switch between them from the dashboard.

Step 3: Create the Event

  1. From your organization dashboard, click Create Event.
  2. Enter the event name, start and end time, and time zone. Use the time zone of your campus.
  3. Enter the building and room, for example Student Union, Room 210. For an online event, add the video call link instead.
  4. Save the event. It stays a draft until you publish it.

A free General Admission ticket is created automatically, so registration is ready as soon as you publish.

Step 4: Pick “Simple RSVP”

CompleteEvent asks What kind of event are you running? For club meetings, speaker events, info sessions and socials, choose Simple RSVP. It hides the advanced tabs and shows three steps: description, banner image, publish.

Choose Paid / Ticketed instead if you are charging admission. Paid tickets need a connected Stripe account under Settings → Payments, so set up paid events a few days ahead.

Step 5: Add a Description and Banner

Write two or three sentences: what the event is, who it is for and what to bring. The first sentence shows in link previews when students share the event. Add a banner image at 1200 × 630 pixels.

Step 6: Add Registration Questions (Optional)

Name and email are collected by default. To ask more, open Registration Form in the event menu and add questions such as major, class year or student ID. Ask only what you will use. If your club reports attendance to student government, add the fields that report needs now.

Step 7: Publish and Share

On the event overview, click Publish event. Your registration page is live at completeevent.app/your-org/your-event. Share the link in your group chat, newsletter, social posts and flyers. Publishing does not email anyone.

Register yourself once in a private browser window to check that the confirmation email and QR code arrive.

Step 8: Check People In

On event day, open Check-In → Open scanner on your phone and scan the QR codes from students' confirmation emails. For a door with nobody staffing it, open Kiosk Mode on a tablet and turn on walk-in sign-in, so students who did not register can sign in themselves.

After the event, export the registrations list with check-in status for your records.

Tips

  • One event at a time on Free. The Free plan allows one active event. Plan your next event after the current one ends, or move to a paid plan for several at once.
  • Hand-off at officer elections. The Free plan has one team seat. To pass the organization to next year's officers with its events and attendance history, a paid plan lets you invite them (Starter includes three seats) and transfer ownership in Organization Settings.
  • Education discount. Accredited colleges and universities get 20% off paid plans.
