How to Manage Volunteer Sign-Ups for an Event
Plan volunteer roles from your schedule, keep the sign-up form short, approve and brief volunteers in one place, and check them in on the day.
To manage volunteer sign-ups for an event, define the roles you need and how many people each role takes, publish one sign-up page where volunteers choose a role, approve applicants, and give each approved volunteer a single page with their tasks and event-day details. That replaces the sign-up spreadsheet, the reply-all email thread, and the printed task sheet that nobody reads.
This guide covers how to plan volunteer roles, what to ask on the sign-up form, how to brief volunteers before the event, and how to run it in CompleteEvent.
Step 1: List the roles before you recruit
Start from the event schedule, not from the people you know. Walk through the day and write down every job that needs a person.
- Registration desk: check-in, badges, name lookups.
- Greeters and wayfinding: doors, elevators, session rooms.
- Session monitors: room counts, timekeeping, speaker support.
- Silent auction: bid sheets, item pickup, checkout.
- Setup and teardown: tables, signage, load-in.
For each role, set a number. Two people at registration per 100 expected arrivals in the first hour is a reasonable start. Add 10–20% to every number for no-shows.
Step 2: Keep the sign-up form short
Ask only what you will use:
- Name, email, and a phone number for event-day contact
- Which role they want
- When they are available (setup, morning, afternoon, teardown)
- Relevant experience, if the role needs it
Show how many spots each role still needs. Volunteers go where help is needed when they can see it.
Step 3: Approve, then brief
Approve volunteers rather than accepting everyone automatically. It lets you balance roles, turn away a twelfth greeter when you need a fourth person at registration, and screen for events with minors or sensitive settings.
Every approved volunteer needs three things before event day: where and when to arrive, who to report to, and what their job is, step by step. Put it in one place they can open on their phone, not across four emails.
Step 4: Check volunteers in on the day
Check volunteers in the same way you check in attendees. You learn about no-shows at 7:45, not at 9:00 when the registration line backs up.
How to run volunteers in CompleteEvent
Volunteer management is included on every plan, including Free.
- Create roles. In your event, go to Volunteers and add each role with a description and a capacity. The capacity caps how many approved volunteers that role can take.
- Add tasks. Write each task as a short instruction, such as “Set up the badge table by 7:30”. Assign a task to a role, or leave it unassigned so every volunteer sees it.
- Share the sign-up page. Your event has a public volunteer page at
/your-org/your-event/volunteer. Volunteers enter their name, email, optional phone, role, availability, and experience. The page shows how many people each role has and how many it needs. - Review applications. Applicants land in a pending queue. Approve or decline them in a table or by dragging cards between Pending, Approved, and Declined columns.
- Approved volunteers get their hub. Approval sends an email with a private link to the volunteer's hub: their role, their task list, the event date, time, and location, and a personal check-in QR code. No account or password is needed, and the link works on any device.
You can export the full volunteer list to CSV with name, email, role, status, and availability for your records or for a thank-you mailing.
After the event
- Thank volunteers within 48 hours, with one specific thing their role made possible: “Registration checked in 340 people in 50 minutes.”
- Record who came and which roles were short. That is next year's recruiting plan.
- Ask two questions: what would have made the job easier, and would they volunteer again.
